Junior Staff Accountant -AP/AR
Job Summary
The Accounts Payable/Receivable/ Junior Accountant is responsible for performing a variety of accounting tasks related to the maintenance and processing of payable and receivable account transactions. This role ensures accuracy and efficiency in operations, processes and monitors incoming payments, and secures revenue by verifying and posting receipts.
Responsibilities
Account Receivable Duties
- Generate and send out invoices and credit memos to customers twice monthly.
- Follow up on, collect and apply payments daily (cash, checks, credit cards)
- Manage customer deposits, perform account reconciliations and resolve any discrepancies.
- Prepare and manage customer statements and aging reports.
- Process refunds for B2C via Paypal.
Accounts Payable Duties:
- Process vendor invoices and verify accuracy against purchase orders.
- Enter invoices into the accounting system for payment.
- Schedule and prepare payments via checks, wire transfers, and ACH twice monthly.
- Reconcile accounts payable transactions and resolve discrepancies.
- Assist in onboarding new vendors and manage vendor relations.
- Assist in preparation of 1099s at year end.
Audit and Compliance:
- Assist in internal and external audits.
- Ensure compliance with company policies and accounting regulations.
- Help maintain accurate and organized financial records
Administrative Duties:
- Answer and direct phone calls related to accounting inquiries.
- Provide support to the finance team as needed.
- Assist with special projects and perform other related duties as assigned.
Qualifications
Education
- Associate's degree in Accounting, Finance, or a related field preferred.
- 1 Year experience (including internship or co-op experience)
- Prior experience in accounts payable/receivable or a related finance function a plus.
- Basic understanding of accounting principles and procedures.
- Proficiency in Microsoft Office, especially Excel.
- Experience with accounting software, preferable Sage 100 is an advantage.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Good communication and interpersonal skills.
